Billing Systems

Platform

Numlytics built a complete revenue cycle management Power BI platform for a multi-specialty medical billing firm, a branded client-facing revenue intelligence portal and an internal denial intelligence engine. The result: first-pass denial rate reduced from 16.3% to 7.8% in 9 months, $2.4M in previously written-off claims recovered via appeals, AR days cut from 54 to 30, and zero client contract losses after the portal launched.
The Challenge: Losing Clients to Platforms with Live Dashboards
A multi-specialty medical billing firm managing billing for physician groups across Illinois was facing competitive pressure from enterprise platforms offering live medical billing analytics dashboards. With a first-pass denial rate of 16.3%, more than double the industry benchmark of 5–8%, and no system to track recurring denial patterns, the firm was both losing revenue and risking its largest client relationships.
-
Competitive threat from live portals: Two multi-site provider groups were evaluating competitors offering live Power BI portals. The billing firm's COO knew they needed to match that capability or lose high-value contracts worth millions in annual revenue
-
16.3% first-pass denial rate: Well above the industry benchmark of 5–8%. Without a denial rate reduction Power BI system, the same payer-specific denial patterns recurred month after month coders fixed individual claims but nobody fixed the underlying coding or eligibility issues
-
Fragmented data across 6 systems: Claims data across AdvancedMD, Athenahealth, manual Excel trackers, and payer portals, no consolidated view for any RCM analytics dashboard query
-
Appeals being written off: Without a system tracking timely filing deadlines by payer, high-value denied claims were lapsing before anyone filed an appeal significant and entirely avoidable revenue leakage.
The Numlytics Solution:
Numlytics built two integrated solutions delivered in parallel, a client-facing Revenue Intelligence Portal and an internal Denial Intelligence Engine connecting to existing billing systems without disrupting any operational workflows. Together, they form a complete revenue cycle management Power BI solution.
-
Revenue Intelligence Portal - Branded Client-Facing Power BI
Numlytics delivered a branded medical billing analytics dashboard portal embedded under the billing firm's own name giving each provider client 24/7 access to their live KPIs: claim submission and acceptance rates, collections versus net charges, AR aging buckets (0–30, 31–60, 61–90+), payer performance tables, and month-over-month trend lines. Refreshed nightly; high-priority metrics updated intraday. This is the accounts receivable Power BI healthcare capability that stopped clients from leaving.
-
Denial Intelligence Engine - Root Cause Classification Pipeline
Numlytics built an automated ERA/835 data pipeline that classifies every denial by root cause coding error, eligibility failure, prior authorisation, timely filing, and medical necessity, enriched with CPT, ICD-10, payer, and provider identifiers. A denial workbench surfaces the top recurring patterns weekly. This systematic denial rate reduction Power BI approach, fixing the root cause rather than individual claims, is what drove the rate from 16.3% to 7.8%.
-
Unified Data Pipeline - AdvancedMD and Athenahealth Integration
Azure Data Factory pipelines ingesting claims, ERA/835 remittance files, and eligibility data from AdvancedMD and Athenahealth into a centralised Azure Synapse data warehouse with automated reconciliation to catch discrepancies before they become denial patterns. The foundation of the RCM analytics dashboard infrastructure.
-
Appeals Deadline Tracker - Zero Lapses
A DAX-driven measure calculating remaining appeal windows per claim based on each payer's specific timely filing rules. Denials within 14 days of expiry are flagged red in the denial workbench. Power Automate sends a daily priority digest to billing leads, ensuring no recoverable claim lapses. This single feature recovered $2.4M in previously written-off appeals in the first 12 months.
"We were losing ground to platforms that could show clients a live dashboard. We couldn't build that in-house it would have taken months and a budget we didn't have. Numlytics delivered a fully branded portal in under 30 days. Our two largest clients saw it in a QBR and immediately stopped talking about switching. The denial engine paid for the entire engagement in the first quarter alone, we recovered claims we didn't even know we were leaving on the table."
